We are looking for a detail-oriented and proactive Sales Admin Executive to support our sales team and ensure smooth day-to-day operations. This role bridges administrative support with sales reports, orders, delivery schedules, and packaging materials, among other administrative and operational tasks.
Job Responsibilities:
- Administrative Support:
- Provide general administrative support to the sales team, including scheduling meetings and maintaining calendars.
- Assist in preparing presentations and sales materials.
- Support the onboarding process for new sales team members.
2. Communication:
- Act as a liaison between the sales team and other departments (e.g., marketing, finance, operations).
- Foster effective communication among team members and ensure that everyone is updated on key developments.
3. Delivery Coordination:
- Collaborate with logistics and distribution teams to schedule deliveries.
- Monitor delivery schedules and address any issues that arise.
- Ensure that all delivery documentation is complete and accurate.
4. Packaging Materials Management:
- Assist in ordering and maintaining inventory of packaging materials.
- Collaborate with suppliers to ensure timely delivery of materials.
- Monitor quality and compliance of packaging materials.
5. Sales Reporting:
- Compile and analyze sales data from various regions.
- Prepare and format weekly/monthly sales reports for management review.
- Maintain accurate records of sales performance and forecasts.
6. Order Management:
- Assist in processing sales orders, ensuring accuracy and completeness.
- Track order status and coordinate with logistics to ensure timely delivery.
- Communicate with customers regarding order updates and inquiries.
7. Additional Responsibilities:
- Support ad-hoc projects as assigned by the sales manager or general manager.
- Continuously identify and recommend process improvements to enhance efficiency.
Job Requirements:
- Diploma & Bachelor’s degree in business, marketing, or a related field (preferred).
- Previous 1 or 2 years experience in a sales support or administrative role.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
- Excellent communication skills, both written and verbal.
