Sales Admin

We are looking for a detail-oriented and proactive Sales Admin Executive to support our sales team and ensure smooth day-to-day operations. This role bridges administrative support with sales reports, orders, delivery schedules, and packaging materials, among other administrative and operational tasks.

Job Responsibilities:

  1. Administrative Support:
  • Provide general administrative support to the sales team, including scheduling meetings and maintaining calendars.
  • Assist in preparing presentations and sales materials.
  • Support the onboarding process for new sales team members.

2. Communication:

  • Act as a liaison between the sales team and other departments (e.g., marketing, finance, operations).
  • Foster effective communication among team members and ensure that everyone is updated on key developments.

3. Delivery Coordination:

  • Collaborate with logistics and distribution teams to schedule deliveries.
  • Monitor delivery schedules and address any issues that arise.
  • Ensure that all delivery documentation is complete and accurate.

4. Packaging Materials Management:

  • Assist in ordering and maintaining inventory of packaging materials.
  • Collaborate with suppliers to ensure timely delivery of materials.
  • Monitor quality and compliance of packaging materials.

5. Sales Reporting:

  • Compile and analyze sales data from various regions.
  • Prepare and format weekly/monthly sales reports for management review.
  • Maintain accurate records of sales performance and forecasts.

6. Order Management:

  • Assist in processing sales orders, ensuring accuracy and completeness.
  • Track order status and coordinate with logistics to ensure timely delivery.
  • Communicate with customers regarding order updates and inquiries.

7. Additional Responsibilities:

  • Support ad-hoc projects as assigned by the sales manager or general manager.
  • Continuously identify and recommend process improvements to enhance efficiency.

Job Requirements:

  • Diploma & Bachelor’s degree in business, marketing, or a related field (preferred).
  • Previous 1 or 2 years experience in a sales support or administrative role.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Excellent communication skills, both written and verbal.
